The rent invoice worksheet produces the invoice for one rent charge: the property and unit, the tenancy it belongs to, the period the rent covers, the amount due and the date it falls due, anything added or credited that month, and how the tenant may pay. It totals what is owed for the period and, where a balance is carried, shows the arrears alongside the new charge instead of burying them. What the person managing the let asks before running the Rent invoice

What is the difference between the rent invoice and the rent receipt? The invoice is what you send before the money arrives: this period, this amount, due this day. The receipt is what you send after it has landed: this amount, received this day, against this period. Keeping them as two documents from one record is what stops the common mess where a receipt is issued for a period that was never invoiced, or a payment lands and nothing says which month it settled.

How should arrears appear on the invoice? On the face of it, as their own line, with the period they came from. An invoice that shows only the new month's rent while a balance is carried is the single most common reason a tenant and a landlord disagree about what is owed. The worksheet carries the balance forward as a separate line so the total is arithmetic the tenant can check.

Do I have to issue a rent invoice at all? Nothing federal requires it, and plenty of small landlords never send one. It is still worth doing, because the invoice and its receipt are the pair of documents that make the ledger checkable by somebody who was not there.
