A rent reminder is a small thing that removes a surprisingly large amount of friction: most late rent is not a refusal to pay, it is a date that went past. A reminder sent a few days before the due date, naming the amount, the period and how to pay, turns a chase into a note. Send it before the due date, not after

A reminder is a courtesy about a date that has not passed yet: a few days before, with the amount, the period it covers and how to pay. Sent after the due date it is a different message with a different tone, and increasingly a different legal character, so send the early one and it will usually be the only one needed.

Say the amount, the period and the method

A reminder that says only that rent is due is not much use. Name the figure, the month it covers, the date it falls due and the ways it can be paid. If a balance is carried from a previous period, show it as its own line rather than folding it into one total.

Send it from the record so the figure is right

A reminder typed by hand is a figure somebody remembered. Sent from the tenancy's ledger it is the figure the record holds, including any part payment that landed yesterday. The most damaging reminder is the one that chases rent the tenant has already paid.

What the person managing the let asks before running the Rent reminder

When does a rent reminder become debt collection? Broadly, when the balance is overdue and you are pursuing it rather than flagging a date. That distinction matters because collecting a debt, particularly through a third party, is governed by federal consumer rules and by state law about notices and fees. A pre-due-date reminder is not that, which is another reason to send it early. Where you are past the point of a reminder, take advice rather than improvising.

How often should I send one? Once before the due date is the useful one. After that, follow whatever your lease and your state provide for late rent, in writing, on a schedule you apply to every tenancy the same way. Repeated informal chasing is the pattern that annoys good payers without moving bad ones.

Can I charge a late fee automatically? Only if the lease provides for it and your state permits it, and both the amount and the grace period are limited or prohibited in a number of states.
