Free landlord software usually means one of three things, and it is worth knowing which one you are being offered before you put a portfolio into it: a genuinely free tool that does one job, a free tier of a paid product that stops at a unit count, or a product that is free to the landlord because the tenant pays the fees. All three are legitimate and they cost you different things. This page sets out what a landlord actually needs held in a record, what the free options generally do and do not cover, and what to check before you move a real tenancy onto one.

Decide what has to be in the record

At minimum: every property and unit, every lease with its dates and its rent, every rent charge and every payment against the tenancy that owes it, and the documents filed against each. If a free product cannot hold all four, it is a worksheet rather than a record, which may be all you need but is a different thing.

Find out who is paying for it

If the product is free to you, somebody is paying. It is usually the tenant, through an application fee, a payment fee or a rent-reporting subscription, and that is worth knowing because those charges are yours to explain when a tenant asks about them. A tool that is free because it is free is rarer and usually narrower.

Check you can get your data out before you put it in

Ask how you export every property, lease, ledger and document, in what format, and whether you can still do it after you stop paying or after the free tier ends. A record you cannot take with you is not a record, it is a rental.

Is free landlord software good enough for a small portfolio? For a handful of units, often yes, provided it genuinely holds the lease and the rent ledger rather than just producing documents. The point at which people outgrow it is rarely the unit count and usually the moment two things need to agree with each other: the arrears figure and the owner statement, or the ledger and the invoice. That is a record problem, not a volume problem.

What do free tiers usually stop at? Commonly a unit count, the number of saved records, or the branded documents. Sometimes the free tier keeps the data but locks the export, which is the one to watch for. Read what happens at the boundary before you cross it, because that is the moment you have least leverage.
