Choosing commercial property management software is not really a software decision, it is a decision about which parts of the job you want held in a record and which you are content to keep doing by hand. The commercial portfolio makes that sharper than the residential one: leases run for years rather than months, the rent has steps and reviews written into it, recoveries and service charges have to be apportioned across tenants, and the tenant is a business whose own accounts department will query anything that does not reconcile. Write down the jobs before you take a demo

List what the software has to do for your portfolio in your own words: the lease record with its steps and review dates, rent raising and collection, recoveries and service charge apportionment, arrears with ageing, work orders and vendors, owner reporting, and the documents each of those produces. Written first, the list survives the demo; written after, it is the demo's list.

Cost the quotes on one basis

Commercial software is quoted per unit, per square foot, per user and flat, sometimes several of those at once, with a monthly minimum and a setup fee underneath. What is the difference between commercial and residential property management software? The lease. A residential product is built around a short tenancy at a fixed monthly rent, so its ledger is simple and its documents are standard. A commercial product has to hold a lease that runs for years with steps, reviews, break clauses and rent-free periods, and it has to apportion recoveries and service charges across tenants. A residential product used for commercial work usually breaks first at the recovery, because there is nowhere to put it.

Do I need a commercial product for a handful of commercial units? Often not.
