A landlord considering a rent collection service is usually deciding between doing it themselves, using software, and paying somebody to do it. Those are three different purchases at three prices, and the middle one is where most landlords should stop. Price the three options honestly

Doing it yourself costs your time and a bank account. Software costs a subscription and possibly a payment margin, and removes the reconciliation. A collection service costs a percentage of rent, usually alongside other fees, and removes the conversation as well. Put an annual figure against each for your actual portfolio before deciding, because the gap between the second and third is wider than most landlords assume.

Ask where the money lands and for how long

Straight to your account, or into the provider's and out to you on a cycle. The second means somebody else holds your rent for days, and in most states holding client money brings licensing and trust-account obligations you should confirm the provider actually meets. Ask for the settlement timetable in days, in writing, rather than accepting the word prompt.

Establish where chasing stops being yours

Federal debt collection rules bite when a third party pursues a consumer debt on somebody else's behalf, which is what an outsourced arrears chase is. That changes what may be said and when. Agree at what day the provider's chase starts, what it consists of, and what they will not do, because their conduct becomes something you are associated with.

Check the exit before the start

Whether tenant payment mandates transfer if you leave, what records you receive and in what format, and how much notice each side gives. Mandates usually do not transfer, which means every tenant re-authorises and some revert to paying however they used to. Knowing that in advance is what makes this a choice rather than a commitment.
