Keep the assessments ledger per unit

The association's income is a schedule of assessments owed by named units, not a single revenue figure. Every charge, every payment and every balance belongs to a unit, because that is the level at which an owner will query it and at which a lien or a collection decision is made. An aggregate figure cannot answer the question an owner actually asks.

Keep operating and reserve apart, visibly

The reserve fund is money set aside for future capital work and is not available for this month's landscaping, and most governing documents and several states treat it that way explicitly. Holding it in a separate account with its own ledger is what makes a transfer between them a decision somebody made rather than something that happened.

Produce the board's pack from the ledger

The board wants the balance sheet, the income and expenditure against budget, the delinquency report by unit and the reserve position, monthly, and it wants this month's to reconcile with last month's. Produced from one ledger they do; produced from a spreadsheet each month they slowly stop.

Can I run an association's books on ordinary small-business accounting software? Small associations do, and it works until the delinquency report is needed by unit or the reserve has to be demonstrably separate. General packages have no concept of an assessment against a unit, so that ledger ends up in a spreadsheet beside the books, which is exactly the split that lets the two disagree. That is the point at which association-specific software earns its price.

What is the difference between a reserve study and reserve accounting? The study is the forward estimate: which components will need replacing, when, and at what cost, and therefore what should be set aside. Reserve accounting is holding and reporting the money against that plan.
