Tenant management software is judged on a narrower thing than the category name suggests: whether the record of a tenant is complete, current and retrievable by somebody who was not there. Rent, documents, communications, maintenance history and the deposit all belong to one person and one tenancy, and most portfolios hold them in four places. Define the record before comparing products
One tenancy should hold: the parties and the term, the rent and its history including every change, every payment and the ledger balance, the deposit with where it is held and what was agreed, every document signed or served with its date, every maintenance report with its trail, and every material communication. If a product cannot show all of that on one screen for one tenancy, the record lives partly elsewhere and somebody has to know where.
Test retrievability by someone else
The test is not whether you can find something; it is whether a colleague, or you in two years, can. Pick a tenancy that ended eighteen months ago and try to answer three questions: what the rent was in a given month, when a repair was reported and what happened, and what was deducted from the deposit and why. A product that answers all three in under a minute is holding a real record.
Watch where communications go
Most tenancy communication happens by phone, text and email, outside any system, and that is where the record breaks. A product that captures communications, or makes it trivial to attach one, keeps the account whole. One that requires a person to remember to copy something in will hold a partial record that looks complete, which is worse than an obviously partial one.
Check what happens at the end
A tenancy that ends should close rather than vanish: the record retained, retrievable, and clearly no longer current. Products that archive tenants out of view make the eighteen-month-old question hard to answer at exactly the moment it is being asked adversarially. Ask to see an ended tenancy during evaluation, not just a live one.
