Establish what actually has to move
Tenancies with their terms, ledger history far enough back to answer a dispute, deposit records with where the money is, documents including signed leases and inventories, maintenance history, and owner records if you manage for others. Write that list and ask each vendor which of it their import takes. The honest answers differ sharply, and the items usually missing are documents and ledger history, which are the two you cannot recreate.
Find out whether payment mandates transfer
They usually do not. That means every tenant paying by recurring debit has to authorise again, and a proportion will not, reverting to transfers or cards. Plan for that: a dated communication, a deadline, and a fallback route recorded in the same ledger. A migration that assumes mandates carry over discovers the truth on the first rent day of the new system.
Run both systems for one full cycle
One month, both running, invoices from the new and reconciliation against the old. It is duplicated work and it is the only way to find the differences before they matter: rounding, payment application order, how part payments land, what the arrears figure includes. Budget the month rather than hoping to cut over cleanly on the first of a month.
Decide what you are leaving behind, deliberately
Some history will not come. Export it, store it somewhere you can find it, and record where. A closed archive you can produce is a perfectly good answer to a question about an old tenancy. Data left inside a product you have stopped paying for is not, and the access usually ends sooner than people expect.
