Start from the minimum, not the per-unit rate

Almost every product has a monthly floor, and below it you are paying for capacity you do not use. Divide the floor by your unit count to get your real per-unit cost. A product at a low headline rate with a high floor can be several times more expensive per unit than one priced higher with no floor. This single calculation reorders most shortlists at small portfolio sizes and takes two minutes.

Judge setup by the first month, not the first year

A product that takes a week of evenings to configure is a product that will not be configured. At this size look for tenancies enterable in minutes, a rent schedule that generates without a consultant, and an import that accepts a spreadsheet. If the vendor's answer to setup is an onboarding call, ask how long the call is and what happens if you miss it.

Insist on a complete export before you start

The small portfolio's real risk is being stuck. Ask what an export contains: tenancies, ledger history, documents, and in what format. If documents are not included, the product holds your tenancy files hostage in a way the price list does not disclose. Test the export in the trial rather than believing the answer, because this is the question vendors answer optimistically.

Decide about the tenant-facing half

Portals, apps and online payments help most where tenants are used to them and help least where they are not. At small scale it is reasonable to run payments through the bank and keep the software as the record. Decide deliberately rather than adopting a portal because it came with the product and then maintaining two systems because half the tenants ignored it.
