Price the agent properly first

A management fee is a percentage of rent, and alongside it sit letting fees, renewal fees, inspection charges and marked-up maintenance. Add them into an annual figure for your actual portfolio. That number, not a software price list, is what the software is competing with, and it is usually considerably larger than landlords assume when they quote the headline percentage alone.

Be honest about what software does not do

It does not view the property, meet a contractor, have the awkward conversation about arrears, or be available when you are abroad. It records, reminds and calculates. If the reason you are considering an agent is availability rather than administration, software solves the wrong half and you will end up paying for both. That is a common and avoidable outcome.

Count the compliance calendar as a feature

The strongest argument for software in a self-managed portfolio is the statutory calendar: certificates, inspections, deposit deadlines and notice periods. Those are what an agent is genuinely useful for and what a diary with an owner replicates at almost no cost. A product that holds them, with dates and evidence attached, is doing the highest-value part of the job.

Decide the hybrid deliberately

Many landlords let through an agent and manage themselves, or manage themselves and use an agent for tenant find. Both are reasonable and both need the records to end up in one place.
