Those six are where the money, the risk and the exit live, so a template that omits them is a document that describes the relationship while it is going well. This is what to add before signing one, whether you are the owner or the manager.
The fee, stated completely
The management percentage is the part every template has. What is usually missing is everything beside it: letting or tenant-find fees, renewal fees, inspection charges, project management on works above a threshold, and whether maintenance is marked up. State each as a figure or a percentage with what it applies to. An owner who discovers the second fee at the first renewal has lost trust that the percentage never buys back.
Spending authority and the threshold
What the manager may spend without asking, per item and per period, and what happens in an emergency out of hours. Free templates either omit this or set an unrealistic figure. Too low and every washer becomes an email; too high and the owner learns about a bill afterwards. Set it deliberately and write in how an emergency is handled when the owner cannot be reached.
Client money, and where it sits
Whose account rent lands in, how often it is remitted, whether interest accrues and to whom, and how deposits are held. In most states holding client money carries its own licensing and trust-account rules, and a free template will not know your state's. This clause is also the one an owner should read most carefully, because it describes who is holding their money and for how long.
Termination, indemnity and what happens to the records
Notice to end on both sides, whether fees survive on tenancies the manager introduced, who indemnifies whom and for what, and, the clause nobody includes, what the owner receives on exit: the tenancy files, the ledger, the deposit records and the tenant contact details, in what format and within how long. An agreement without an exit clause is one where the records leave with the manager.
