Commercial real estate lease management software is bought for reporting and delivered by abstraction. Every figure it produces, the expiry profile, the passing rent, the obligations falling due, is computed from terms somebody extracted from a lease document. The software cannot check that work. That makes abstraction the product, and it is the part of the purchase that gets the least attention and causes the most trouble.

What has to come out of each lease

Parties and any guarantor, demise and area, term with commencement and expiry, rent with every scheduled change and its mechanism, review dates and basis, options and breaks with their notice deadlines and how notice must be given, recoveries and the apportionment basis, deposit or rent deposit deed, permitted use, and any obligation with a recurring date. Around a dozen categories per lease, entered once and relied on for years.

Who does it, and why not the negotiator

Abstraction should be done by somebody reading the clause rather than remembering the deal, and ideally not the person who negotiated it, because they will abstract what they intended rather than what was written. Errors here are invisible until the date arrives, and the date arriving is exactly when you cannot afford the system to be confidently wrong.

Every extracted term links back to its clause

The single most valuable feature in this category is that a figure on screen is one click from the clause it came from. Without that link, verification means finding the lease and reading it, which nobody does under time pressure, so the abstract is trusted rather than checked. With it, a quarterly review of the ten most material leases becomes an hour rather than a project.

Test it with a re-abstraction

During evaluation, have two people abstract the same awkward lease independently and compare. The differences tell you what the system makes easy to get wrong, which is more useful than any feature list. It also tells you what your own abstraction standard needs to say, which is a document worth having before the data migration starts.
