Commercial property software carries the highest advertised cost per unit in this category and the quoted figure is usually the smallest part of the first year. Modules, and which ones you actually need
These products are sold as a core plus modules: accounting, budgeting, recoveries, maintenance, portal, analytics. The core alone rarely does what the demo showed. Ask which modules produced each thing you liked, and price the combination. A quote for the core against a demo of everything is the most common way an evaluation is made on the wrong number.
Implementation is a project with a price
Configuration, chart of accounts, lease abstraction, training. For a portfolio of any size this is weeks of somebody's time, theirs and yours. Lease abstraction in particular, entering the terms of every existing lease accurately, is the part that determines whether the system is trustworthy afterwards, and it is the part most often underestimated by both sides.
Seats are where the bill grows
Per-user pricing that looked reasonable for the office becomes expensive once site staff, contractors and owners need access. Count everybody who will need to see or do anything before you price, and ask specifically what a read-only or occasional user costs, because that tier is often the difference between a workable bill and an unworkable one.
Getting out, priced before getting in
Ask what an export contains and in what format, and whether it includes documents as well as data. A product you cannot leave has pricing power over you at every renewal, and the question is much easier to ask before you sign. It is also a reasonable proxy for how the vendor thinks about its customers.

Because commercial leases contain recoveries, steps, reviews and options that need real modelling, and because the buyers are larger. The complexity is genuine; the pricing above it is negotiable.
What should I insist is in the base price?
Whatever produces the reports you are contractually obliged to send. If those sit behind a module, the module is not optional and should not be priced as though it is.
Is a small commercial portfolio better off with residential software?
Only if the leases are simple. Recoveries and rent steps are what break residential products, not the building type.
